Lao Friends Hospital for Children (LFHC) is a 52-bed acute pediatric hospital situated in Luang Prabang, Lao PDR. It is operated by a New York based non-profit organisation, Friends Without A Border, which is dedicated to providing high-quality and compassionate healthcare to children in remote areas of Southeast Asia. In 2015 the hospital was opened on the same campus as the Luang Prabang Provincial Hospital and has been developing its services since then.

LFHC is a teaching hospital offering emergency, inpatient, outpatient and surgical services to neonates and children throughout Northern Laos. Limited on-site radiology, pathology and pharmacy together with a homecare program complement these clinical activities. A major goal of this hospital is to promote clinical learning and professional development of the local staff such that key positions in the hospital are progressively filled by a well-trained and dedicated local workforce.

Position summary:

The HR assistant’s duties involve a wide range of support activities inside the HR department, from coordinating meetings to maintaining employee database to posting job ads. An important part of this role will be to act as the liaison between HR and employees, ensuring smooth communication and prompt with accurate resolution of requests and questions. S/he will also assist in the creation/review of policies, processes and documents as per the details below.

Job duties and responsibilities:

HR:

  • Assist in job posting and organizing resumes and job applications;
  • Preparing staff/volunteer badges;
  • Assist HR Manager to Schedule job interview;
  • Assist with the recruitment process;
  • Manage the completion of compensation and benefit documentation;
  • Perform orientations and update records of new staff and volunteers;
  • Keep up-to-date with the latest HR trends and best practice;
  • Performing file audits to ensure that all required employee documentation is collected and maintained;
  • Submit any report relating to Human resources to governments by quarterly or yearly;
  • Tracking employees fixed-term contract and reporting to their department managers;
  • Assistant the Leadership support team to organize any trainings relating to leadership at the hospital;
  • Managing the Staff Leave Records database;
  • Supports International and local travel of LFHC staff and Volunteers (preparing per diem, Visa, flights and accommodation).

Education Support:

  • Liaise with the Lao Pediatric Residency program to coordinate resident rotations from Vientiane to LFHC and LFHC to Vientiane;
  • Ensure trainees have relevant information training material to follow the training;
  • Ensure that the executive and the relevant clinicians are kept informed of students who may be arriving and their educational needs;
  • Keep register of all training sessions conducted and staff trained before and after training;
  • Generate training certificate when needed;
  • Other task assigned by your line manager.

Qualifications:

  • Qualification in HR Management, Business Administration, English Business or another related field
  • Experience in Human Resources Assistant
  • Ability to communicate in Lao & English fluently
  • Excellent interpersonal skills
  • Be enthusiastic, motivated and driven
  • Be honest and trustworthy
  • Be creative and flexible about work

Work Condition:

  • The days and hours of work is on Monday to Friday and work from 8:00 to 17:00 with one hour break and weekend off. Any additional hours worked beyond this limit, required and pre-approved in writing by Employee’s supervisor, will be considered and remunerated as overtime compensation.
