Position title: Administration Officer, Pakse office, WWF Laos
Location: Pakse, Champasak Province with occasionally travel to project sites
Background:
The World Wide Fund for Nature (WWF) has had a presence in Laos since the late 1980s, when it contributed to some of the first biodiversity surveys that established Laos’ protected area system. The office in Laos was officially established in 2001. Today, our main office for WWF-Laos is in Vientiane Capital, with field offices in multiple provinces.
WWF-Laos works with government, civil society, the private sector and other partners to address the drivers of biodiversity loss and to move towards a greener nature-based future where the people of Laos can thrive and live in harmony with nature.
Our vision is “a vibrant and sustainable future for Laos, shaped by inclusive conservation that protects biodiversity, ensures equitable benefits, and nurtures harmony between people and the environment”. Conservation is WWF’s core work, and our programmes in Laos are implemented under four broad thematic areas: Forests, Wildlife, Freshwater and Circular Resilience. As outlined in WWF-Laos’ 2026-2030 strategic plan, we focus our conservation efforts in three main landscapes, eight priority sites and three cities.
Major Functions:
The Administration Officer, Pakse office provides assistances in various aspects of administration, logistics, procurement, and support implementation of the projects under the management of Pakse office. He/she ensures compliance with operations systems, policies and procedures of WWF Laos. His/her specific role is to support projects administration, logistics, procurement and other tasks as required by the line manager/Project manager in the course of project activity implementation in the target area.
Major Duties and Responsibilities:
- Support all aspects of projects office administration and logistic; manage office properties, monitor use, ensure maintenance schedule is followed, and conduct annual inventory check and record and/or upon required by the country office;
- Ensure office safety and security through regular checking and reporting;
- Manage project vehicles; ensure accurate logbook record and timely report submission to country office and/or upon required by the country office; keep regular monitoring of the vehicle status and maintaining up to date contracts with trusted supplier and ensure proper record;
- Support project(s) procurement in compliance with procurement policy and procedure;
- Provide training to staff including government partners and stakeholders to help them understand the related policy and procedures on administration, assets management, logistic, etc. when required;
- Support liaison between the project office, partners, and other stakeholders;
- In cooperation with project staff and Government partners support to organize meetings, workshops, study tours and training courses and facilitate workshops, discussions and consultations with communities and stakeholders;
- Build and maintain networks and partnerships in the target areas with Government local authorities and technical agencies as well as local communities;
- Provide input to communication products and campaigns when required to ensure accurate information is published about WWF activities;
- Assist projects logistic arrangement for trainings, and/or meetings and field implementation activities;
- Provide other operational and technical support to the project team as required.
Required Qualifications :
Required Qualifications
- Bachelor degree in finance and accounting, business management, English, or in other relevant fields;
Required Skills and Competencies
- At least 3 years of practical experience as project finance, office and asset management, administration or accountant or in related fields either with NGOs or bilateral development agencies
- Good team player, service-minded;
- Good communication and negotiation skills;
- Fluency in written and spoken English and Lao languages;
- Striving to develop a sense of team with colleagues;
- Proven ability to work under minimum supervision and take initiative while keeping in check all relevant regulations and organization’s policies;
- Willing to learn and continue to learn;
- Excellent command of written and spoken Lao language;
- Good command of English language;
Working Relationships:
- Internal: Interacts closely with Siphandone Project Manager, and FORRED Project Manager. Interacts regularly with the Regional Technical Advisors. Engages with and supports projects staff in Pakse office.
- External – Interacts with national governmental institutions, non-governmental organizations, academic institutions, the media, donors, partners, specialists/consultants, communities, and other stakeholders.
