The role

We are currently looking for Project Coordinator based in Vientiane Capital

Role Purpose

The Project Coordinator has the overall role to provide coordination between SCI and partners and provide programmatic cohesion and technical support for the project: “Women Overcoming the World’s Climate Crisis with STEM (WOW CCs)” in Vientiane, LAO PDR. This includes supporting the Project Manager in the implementation of the project. and working closely with the Project Manager and with NPA’s partners on day-to-day activities.

The position will ensure regular coordination between SCI and partners through consultation, as well as the timely collection of accurate data and information to support the project implementation through partnerships.

This position is also responsible for ensuring that NPAs plan their work in a timely manner, that activities are implemented to a high standard and that field activities are monitored to support the achievement of high-quality results. The project coordinator will ensure that partners provide accurate and timely reporting. This position will ensure that all partners receive support related to finance, AWARD, and any compulsory policies of SCI when needed.

In the event of a major humanitarian emergency, the role holder will be expected to work outside the normal role profile and be able to vary working hours accordingly.

KEY AREA OF ACCOUNTABILITY

Ensure they fully understand the provisions of the Child Safeguarding Policy, the Code of Conduct and Local/Country Procedures.

Conduct themselves in accordance with the rules of the Child Safeguarding Policy, in their personal and professional lives – which includes reporting suspicions of child abuse.

 Child Safeguarding:

Technical support /capacity building

  • Conduct routine project reviews, action planning and follow up to address gaps in partners capacity.
  • Making sure that partners have good understanding and practices of mandatory policies of SCI.
  • Identify needs to support partners’ capacity building, and make sure that relevant support is provided, especially related to finance, AWARD, procurement etc.
  • Work closely with SCI team to ensure that support is provided to NPAs when it is needed.

Planning and coordination

  • Develop monthly or quarterly activity plans and budgets together with project manager and NPA partners, including sub-granted organizations.
  • Strategic planning for whole project implementation and ensure that planned activities will deliver measurable outcomes and assure quality of implementation in consultation with the Head of Sector.
  • Work with partners to prepare the monthly plan, and quarterly plan, to submit to the project manager.
  • Regularly coordinate with NPAs partners, and with sub-granted-NPAs partners, on coalition work.
  • Coordinate/ organize monthly meetings with main NPA (GDA) partners.
  • Build a strong relationship with main partners (GDA), and sub-granted NPAs.

Implementation and monitoring:

  • Ensure that the partners activities are implemented, as per the work plan, in a timely manner.
  • Work together with the Senior Program officer and MEAL (Monitoring, Evaluation, Accountability and Learning) officer to provide technical project support to partners.
  • Provide technical assistance and seek technical expertise related to finance, AWARD to provide support to partners staff as required.
  • Working with Senior MEAL staff and project manager to establish and implement project monitoring and evaluation measures to provide regular information on progress towards objectives and assess the impact of the projects.
  • Visit field activities to make sure that activities are implemented according to the plan of sub-grant.
  • Conduct regular field monitoring and supervision visits to sub-granted NPAs in collaboration with the main NPA (GDA).
  • Identify obstacles and challenges to projects implementation.
  • Consult with project manager if any challenges arise, and find solutions or address challenges.
  • Organize regular reflection and annual learning events.

Reporting:

  • Ensure regular progress report is submitted to line manager, both narrative and finance
  • Ensure providing data and qualitative information for donor report to Head of Sector
  • Provide support to NPAs partners, both Main NPA partners and sub-granted NPA, on reporting when it is needed.
  • Support the project manager to consolidate report from partners and submit to Head of Sector on time.

Relationships:

  • Establish and maintain positive working relationships with team members, partners, and other institutions involved in the project, which include regular contact with SCI team members, NPAs partners and sometimes with government partners.
  • Develop, maintain, and strengthen relations with other agencies working in the same geographic or technical areas.

AOB:

  • Perform other tasks and duties that directly relate to his/her function as assigned by Project Manager.
  • Travel to projects’ target areas (based on the NPAs’ partner sites.

Qualifications

  • Minimum bachelor’s degree in social science, administration or similar.
  • Relevant qualifications in administration and community development.

 

Experience and Skills

 

  • Minimum of 5 years’ experience working with NGOs or NPAs, with progressively responsible professional experienc
  • Strong leadership skills, and coordination skills, including proven experience in coordination and managing relationships with NPAs and Government partners.
  • Excellent interpersonal and communication skills, including the ability to work effectively with a culturally and linguistically diverse team of staff, consultants, and counterparts
  • Good facilitation skills
  • High levels of self-motivation and initiative.
  • Ability to work effectively as part of a team
  • Good English written and spoken.
  • Ability to write case studies and short reports (in both English and Laos).
  • Computer skills essential: ability to use email, word, excel, power point

Desirable

  • Experience working on climate change or environmental protection.
  • Experience on green agriculture production and livelihoods, or income generation activities.
  • Have experience working with NPAs, CSOs is a strong advantage
  • Having experience working in community development is an advantage.
