Service contract for the design of school manuals for environmental education

FORAE project in Viengkham District is one of Agrisud projects in Laos. Its goal is to support the local communities in improving their understanding of their environment by implementing a school educational curriculum on environment in Viengkham District, Luang Prabang province. This project is implemented in partnership with Viengkham District Department of Education (DEO).

In 2018, FORAE project has designed two school manuals for Environmental Education: one for primary school level and one for secondary school level. In parallel, school manuals in Environmental Education designed by TABI were used by the affiliated schools and teachers for the classes of P4, P5, M1 and M2 during two school years. After 2 years of trial implementation, lessons learned and feedbacks from the teachers have permitted the drafting of 4 final manuals, one per class. If the contents of each manual is now clear and final, FORAE project still need the support of a team/company of designers to create the layouts of these manuals.

The objective of this service contract is to hire a designer team/company that would be able to design the layout of the manuals, including contents and illustrations. Illustrations should also be part of the work produced by the hired designer team/company.

Key points :

·        Design the layout of the 4 manuals for Environmental Education for 4 levels (P4, P5, M1, M2). The manuals have between 24 to 40 pages each depending on the school level.

·        Include the contents of each lesson in each manual in Lao Language.

·        Create a graphic identity: the overall structure and layouts of the manuals should be uniformized for all 4 of them, in order to have a continuity in design.  

·        Produce the illustrations (drawings) that will illustrate each lesson. Description of each illustration will be provided to the designer team/company.

·        The manuals will be used in public schools. The design must be children oriented while being approved by the institutional partner, the Department of Education.

Details of the manuals:

·        Each manual contains 10 to 13 chapters. Each chapter must be illustrated.

·        The manuals are composed as follow:

- P4 school manual = 30 pages

- P5 school manual = 24 pages

- M1 school manual = 40 pages

- M2 school manual = 32 pages

·        The final number of pages per manual might defer when updated with the additional illustrations.

·        The layout contains illustrations/drawings. Similar drawings can be used for all 4 manuals when relevant. Photos provided by the designer can also replace illustrations when relevant.

·        The contents already created by the project’s team include several pictures and illustrations from the previous edition. They can be used as references but not in the new designed manuals for intellectual property reasons.

Capacities required from the designer team/company:

·        Master design software (Indesign, Illustrator, Photoshop) and desktop publishing services.

·        Read and write Lao language, using appropriate lao police types.

·        Experience in designing educational material would be a plus.  


Deliverables and timeline: 

·        A first benchmark of the graphic and pictorial work will be asked 1 week after the selection.

·        A first draft of the 4 manuals will have to be submitted for approval before February 2020.

·        The end of the contract is to be scheduled after revision and approval of the 4 final versions by the institutional partners.

·        Final deliverables should be provided in original format / source files :

    • alterable designer files for the manuals (.indd format / Indesign files) and for the illustrations (.AI format / vector and non-vector illustrator files).
    • royalty-free fonts should be used and provided with the Indesing files
    • PDF versions in High Definition should also be provided, ready for printing.
    •  Copyright and intellectual properties will be longed to the contractor, namely Agrisud International.

- The financial proposal for the service contract, detailing all costs.
